Because of the way Simpplr is built, with Salesforce operating as the backend, our customers may receive email notifications from Salesforce instead of Simpplr.
The vast majority of the time, no action is required by the user upon receiving these emails, and they don't have anything to do with your org's Simpplr instance. And Salesforce will always include links to expanded documentation regarding the notice you're receiving if you're interested in learning more.
However, you may receive an email like the one discussed in this article, which does require the System admin to take action in changing your org's self-signed certificate. You may also have received notices about Salesforce's upcoming enhanced domains. For more information on this, check out this article.
Below we've included some of the most common emails your org might receive. If you have any questions or concerns about these emails, please reach out to your Consultant at Simpplr for more information. We do not recommend disabling Salesforce emails, as some like the ones linked above are important and do require action.
Prepare for the End of Redirections for Legacy Salesforce URLs email
Over time Salesforce has enforced all customers to use Enhanced domains (new URLs) and get away from their old URL standards:
Example (old URL): https://company--simpplr.na226.visual.force.com/
Example (new URL): https://company--simpplr.vf.force.com
When customers went through the Enhanced domains migration, all of their page/site URLs were changed to the new URL. Unfortunately this does not mean that the embedded URLs were changed in Pages or Tiles.
Salesforce has set up a redirection to ensure visual.force.com URLs (old) point to vf.force.com (new) but unfortunately that will be removed starting October 2024.
To mitigate any risk of URLs not working please do the following:
- Search for all instances of URLs with “visual.force.com” by running these queries:
- For Pages:
- Select id, Simpplr__title__c, CreatedDate, Simpplr__Text_Json__c, Simpplr__Text_Main_Continued_Json__c, Simpplr__Text_Main_Json__c, Simpplr__Text_Intro__c, Simpplr__Text_Main_Continued__c, Simpplr__Text_Main__c from Simpplr__Simpplr_Content__c where Simpplr__Title__c != '' and Simpplr__Is_Unpublished__c = false and Simpplr__Is_Archived__c = false and Simpplr__Is_Deleted__c = false order by CreatedDate desc
- For Tiles:
- Select Id, Simpplr__Data__c from Simpplr__Tiles_Config__c
- For Pages:
- Once you find the location of each legacy URL, please update the content inside the page or tile.
- If you’re not sure how to find all pages with legacy URLs please put in a Support ticket and the Support team will help you identify instances of the legacy URL + options to remediate.
Hyperforce release email
With Salesforce's upcoming Hyperforce, the only action needed regarding Simpplr would be updating the instance number in Salesforce > Remote Site Settings > Rest_API_URL to replace the old instance number with the new instance number. The beginning of this article goes over how to update the remote site setting in question.
Further, if you have a custom IP restriction it would be beneficial to review Salesforce documentation on the hyperforce change regarding IP allowlisting. Link.
Upcoming Salesforce Release emails
Salesforce sends upcoming release emails that provide more detail on their upcoming releases, features, bug fixes and more. No action is required from you or your admin team in regards to your intranet. This is purely a Salesforce notification.
Instance Refresh emails
These emails are sent as a notice that your Salesforce instance will be upgraded on a certain date. A Salesforce instance refresh does not impact your Simpplr platform.
Product & Service Notification emails
Similar to upcoming release emails, these serve as notices that Salesforce is rolling out a new product or service. While these emails say, "...that may impact your organization", they are referring to the Salesforce instance, and not your Simpplr instance.
Salesforce Edge Network emails
Salesforce Edge is a network technology that will improve the experience of your platform (download speed). If you receive emails regarding turning this on, please follow the instructions to enable it. There is no prep or risk in turning this on. For more info, click here.
Simpplr Upgrade emails
During an upgrade, it's normal for System admins to receive error messages from Salesforce in their email. These emails can be ignored, as Simpplr Engineering will be proactively resolving any issues that arise. For more info on upgrading your Simpplr release, click here.
Multi-factor Authentication emails
These emails are meant to inform you of Salesforce's upcoming multi-factor authentication requirements for your instance. For more on how your Simpplr org may be affected or need to take action on MFA requirements, click here.

When a new user is added to Simpplr on the salesforce platform, does the new user get an email from salesforce or from Simpplr exlpaining that they have been added to Simpplr as a user?
Do you have a sample of what that email would look like and which organization (Salesforce or Simpplr) it would come from?

Hi Brian. Any new user or welcome email will definitely come from Simpplr. They all more or less look similar to this.

Since that email comes from Simpplr, I'm assuming that there is no way that individual organizations can edit or adjust the content or the look of that welcome email in any way. I got that question and wanted to ask.
Also, if an organization is using SSO, there wouldn't be any email content about creating a password or anything like that right?
Hi Brian. I don't think there's currently any way to customize that welcome email. And no, your SSO provider won't send any notifications to users; no password changes or anything required. When they go to log into Simpplr, they'll be redirected to the SSO login, then redirected back into the intranet.
